Generally large exhibitions have designated logistics service providers, exhibitors can also choose their own logistics service providers. The selected logistics service provider needs to be a large logistics enterprise with exhibition logistics experience, comprehensive strength and high visibility, and can fully represent the domestic and international exhibits logistics services of the exhibition. If the exhibition logistics business is handed over to inexperienced logistics companies, some accidents will inevitably occur, resulting in unnecessary losses.
The logistics service provider who undertakes the exhibition logistics business designs the logistics service plan according to the requirements of the exhibitors, including understanding the transportation, storage, exhibition layout and recycling of the exhibits, and if it is an international conference, it also needs to involve international insurance, customs clearance and other services. The International Exhibition Transport Association believes that there are six main aspects of exhibition logistics agent work:
1. Contact;
2. Contact the customer before the exhibition and clarify the basic transportation requirements. Such as documents, deadlines, etc.;
3. Handle documents and on-site agents;
4. Design the best transport mode and route;
5. Provide on-site support; 6. Post-exhibition processing, back transportation, etc.
According to the exhibition schedule of the exhibition organizer, the logistics service provider shall carry out logistics operations such as collection, transportation and storage of the exhibits according to the plan, and communicate with the exhibition organizer in a timely manner during the event. After the delivery of the exhibits, it is confirmed by the exhibitor, and the next round of logistics or return transport of the exhibits will be started immediately after the end of the exhibition. Excellent logistics service providers can also provide exhibitors with a package of value-added services such as exhibition layout, exhibition management, exhibit recycling and processing. For exhibitors, close contact with logistics agents in the transport stage of exhibits, and pay attention to a good grasp of several stages.
1、Carefully select logistics providers After determining the exhibition, exhibitors should determine the exhibition logistics service providers as soon as possible. After determining the logistics provider, the two sides will sign an agreement for the transportation of the exhibits. The main contents of the agreement are: the logistics company and the communication address of the exhibition hall, contact information and contacts, the delivery time arrangement, the mode of transportation, the arrival station, the delivery unit, the exhibition name, the number of pieces, weight, volume, insurance value, etc.
2、Close contact with the logistics provider in the contact with the logistics provider, it is best to use written and fax form, so as to check the content of the document. According to international practice, the exhibition goods are usually shipped two days before the opening, and close communication is to prevent accidents during the transportation of the exhibits.
3、Due to the relatively short exhibition cycle, the exhibition often has a tight schedule of exhibits entering the museum before the exhibition, so exhibitors should listen to the overall arrangement of logistics agents, and strive for the exhibition time as much as possible to achieve coordination, safety, fast and orderly.
4、After the end of the exhibition, exhibitors should communicate with the entrusted logistics agents in advance to agree on the withdrawal of the exhibition and the return of the exhibits.
