Visa processing

First of all, to participate in overseas exhibitions, you need to apply for an exhibition visa.

The Trade Show visa is a temporary visa that allows the holder to enter the country and participate in trade show events during the trade show. The following materials are required to apply for exhibition visa:

1.Valid passport:A valid passport is required to ensure smooth entry and exit during the exhibition.

2.Exhibition invitation letter:It is usually provided by the show organizer or exhibitor as proof of your need to attend the show.

3.Visa Application form:A complete visa application form is required, including personal information, travel information, contact details, etc.

4.Supporting document:Additional supporting documents may be required, such as round-trip tickets, hotel reservations, proof of financial means, etc.


The processing cycle for the exhibition visa is usually 7-10 working days, and it is recommended that you start processing at least one month in advance.



How exhibitors go abroad also needs to be determined by the type of passport they hold:

一、Private passport

The private passport has a Burgundy color and the front inscription “ Passport of the People's Republic of China ” Issued by the Exit and Entry Administration Bureau of the Ministry of Public Security and its local bureaus, and usually valid for five years, it is usually more convenient for Chinese citizens to apply for such passports, which are applied by the Exit and Entry Administration department where the applicant is registered (from September 1, residents of cities such as Beijing and Shanghai can apply for passports on demand with only their ID cards and household registration). Citizens in some areas need to provide a letter of consent issued by their units or an invitation letter issued by a foreign inviter, as a person who intends to go abroad to participate in the exhibition, you can ask foreign customers to help issue an invitation letter to apply for a private passport), the applicant will usually get a passport two weeks after submitting the materials.

It is relatively easy for private passport holders to apply for a visa. The general procedures are as follows:

Get the official invitation letter of the Expo → Call the embassy visa reservation phone and make an appointment → Arrive at the Embassy on the visa day with all the materials for interview → Get the visa.

In this process, exhibitors need to understand the following points:

1、The official invitation letter of the Expo shall be uniformly requested from the Chinese organizing party to the Expo, and issued after the exhibitors have paid all the fees to the organizing party. The exhibitors can also ask foreign customers to help them issue the invitation letter, but the visa risk is relatively large.

2、Some embassies and consulates need to make an appointment for visa time, such as the United States, Germany, etc., some countries do not need, such as the United Kingdom, etc., exhibitors can arrange their own time to interview. However, when booking a visa, you usually need to provide the applicant's passport number, name and date of birth, and the visa appointment phone does not need to be called by the applicant in person. It should be noted that some countries are difficult to dial during visa rush hours and need to make continuous calls. Germany, the United States and other hot countries at the end of each year and July and August for the visa peak, the applicant's visa appointment time may be 30 days after the appointment time, so please make an appointment in advance to avoid delay in the exhibition.

3、Visa applicants who usually hold a private passport should interview with the visa officer at the embassy or consulate in their territory (as required by the embassies or consulates of each country), which are usually located in Beijing, Shanghai, and Guangzhou. Some countries do not accept personal appointments, such as Japan, must require applicants to send the materials to the designated visa agency, which is handled uniformly.

4、Some countries provide interview free service for applicants who have visited the country for a certain period of time, by which applicants submit their application materials to agencies such as CITIC Industrial Bank, German Chamber of Commerce and Industry.

5、Some countries require applicants to pay the visa fee in cash on the day of the interview, while others need to pay in advance to the designated collection bank, such as the United States needs to pay in advance to CITIC Industrial Bank.

6、Some countries will issue a visa within 1 hour after the applicant's interview, such as the United States, and some countries need to issue a visa after a week, such as Germany, Italy, the applicant can entrust someone else to pick up the visa.

7、Applicants are usually required to bring the following materials to the interview (especially business visas such as exhibiting) :

The completed visa form, passport, original invitation letter issued by the organizer of the Expo, booth certificate, booth fee invoice of the Expo, economic guarantee letter issued by the applicant's unit, original and photocopy of the applicant's business card, ID card and household registration, marriage certificate, employment certificate, copy of the business license of the applicant's unit, credit certificate and the occupation Evidence of business activities, photocopies of visa pages that the applicant has visited other countries and returned to China, photos of the applicant's property, such as: house, car, etc. (if any), applicant's bank deposit certificate and international credit card, etc.

 



二、Ordinary passport for business

The appearance of the ordinary passport is brown, with &ldquo written on the front; Ordinary passport of the People's Republic of China for official business” ", issued by the Ministry of Foreign Affairs and its foreign offices in various people's governments, usually valid for 2 or 3 years, because the Chinese government is currently on business abroad management is stricter, many private and private enterprises exhibitors have not yet had the qualifications to apply for ordinary passports for business, Therefore, exhibitors should first consult the Foreign Affairs Office of the people's government where their units are located whether their enterprises have the qualifications to apply for ordinary passports for business, if they have the qualifications, they can apply for visas in accordance with the procedures for business passports.

Visa application for holders of official passports is relatively complicated, and the general procedures are as follows:


The organizing unit issues the notice of going abroad and the approval of going abroad → Exhibitors handle the confirmation of going abroad and the political review procedures in the local government and relevant departments → Submit the materials to the foreign affairs office of the local government or the organizing party → the local foreign affairs office or the organizing party sends the visa → the local foreign affairs office or the organizing party obtains the visa.
